Organize Hotel Front Desk

Organize your front desk area properly. or have a procedure as to where everything goes (and why) like
- your fax machines, incoming and outgoing faxes
- copy machine and procedure how to use it (for new employees etc)
- computer printer network address (in case tech support needs to troubleshoot it) along with cartridges used and their types or numbers so its easy to order next time
- computer names on the network
- tech support 1-800 number
- ice machine maintenance
- vending machine maintenance (also lost money hotline)
- business cards holder for every manager or supervisor (and a place to stock them in case they are out in middle of night or a visitors meeting and it takes 2-3 weeks to get those printed)
- extra printer cartridges stocked, fax machine cartridges stocked, copy machine cartridges stocked (mostly, you will need different for each)
- extra printing paper supplies(if you buy them bulk, you will save them.
- make folders to store fax faceplate, front desk reports, maps of building, directions to restaurants, airports, malls, nearby company offices, phone numbers to restaurants, sports complexes, liquor stores, trucking companies or corporate companies you do regular business with, truck stops,
- Keep phone numbers posted for emergency assistance like police,(advise your staff not to call 911 unless absolutely emergency because your hotel can be under the list of “high risk” businesses if made so many calls in a period),tech support, business card, printer papers, cartridges, elevator companies, fire department, health department, manager on duty, supervisors, all employees, sewage/trash removal, sprinkler system, laundry maintenance, Ecolab supplies, supply ordering company, lawn mowing company, cable company, phone company, franchise services/customer service, expedia, Travelocity, Orbitz, hotwire, Priceline, hotels.com and other travel booking sites you do business with,
- Keep a folder for tax exempt forms and a procedure of how to fill it out with samples,
- A folder for group booking request form
- A folder for collecting guest satisfaction survey (hopefully you are doing it to track down your complaints. if not, start doing it right away)
- A folder to collect daily housekeeping cleaning records
- Maintenance records
- Pool cleaning records(health inspector will need it during inspection)
- Employee holiday request form
- Keep a employee log book to have a communication path in between them and management (don’t forget to read it as it can be very informative)
- A place to save old employee schedules
- A place to save old faxes

- A place to keep all incoming and outgoing mail and messages for employees as well as guests
- A place to store guest incoming and outgoing valet laundry

all these things are very minor,but only experience can teach you that they are very important in running everyday hotel operations.
